Orders and payment slips

Every order arrives under "Orders" in your dashboard, from waiting for payment to delivered.

What the customer does

  1. Adds products to the cart and enters a name, phone number and delivery address. No account needed.
  2. Scans the PromptPay QR, which carries the exact order amount, and pays from a banking app.
  3. Attaches the payment slip on the order page, and can come back to the order link to see its status.

Stock is held while the customer pays

When a customer places an order, its stock is held for that order. Set the hold between 15 and 120 minutes in your store settings. If the customer does not pay in time, the order cancels itself and the stock comes back.

Once a slip is attached, the hold is extended while you check it, but never past 48 hours after the order was placed. After that the order is cancelled, so check slips promptly.

Checking a slip

  1. Open the order with a slip waiting. Check the amount, the recipient account name and the transfer time.
  2. Check your banking app to see the money really arrived.
  3. All good: press "Confirm payment". The order moves to "To pack".
  4. Not right: press "Reject slip" and pick a reason (wrong amount · money not received · slip unclear · duplicate slip). The customer is told and can attach a new slip.

Packing and shipping

Paid orders wait under "To pack". When the parcel is ready, press "Ship", pick the carrier, enter the tracking number and choose whether to send it to the customer.

  • Carriers: Thailand Post · Flash Express · Kerry Express · J&T Express · Own delivery
  • Own delivery (you drop it off, or the customer picks it up) needs no tracking number
  • A tracking number that does not look like the carrier’s format gets a warning, but you can still save it
  • Shipped orders complete themselves 7 days after shipping, or you can complete them earlier

Cancelling and refunding

  • Not paid yet: cancel it; the stock comes back automatically.
  • Already paid: use "Cancel and refund". Transfer the money back from the store’s account, then attach the transfer proof and a reason.

Customers pay straight into the store’s account and KHAITA never holds the money, so a refund is a transfer from your own account.
